How personal data is collected

Personal data of customers is collected primarily when a client makes an enquiry or booking with Lucy Badham Photography, by phone, email, via the contact form on the website or in person. Contact details are also given when a raffle prize or silent auction prize is awarded and when a Gift Voucher is purchased.

Why personal data is collected

Lucy Badham Photography collects and holds personal data on the legal basis of legitimate interest, in order to communicate with clients and prospective clients regarding photography services, respond to enquiries and process orders.

Where opt-in permission is given, Lucy Badham Photography communicates news and offers from time to time.

What personal data is held

Client data is held on the legal basis of legitimate interest. The information held includes information provided by the client or prospect including name, address, phone number and email address. It may include children’s names and ages, details about pets and requirements for a photoshoot.

After a photoshoot has taken place, digital images from the photoshoot are held in digital format.  Small printed layouts for multi-image compilations are sometimes printed for reference as part of order processing. Order forms completed in person are held in hard copy in folders.  

Lucy Badham Photography has a current validated Payment Security Compliance (PCI DSS). Payment is taken securely via debit or credit card in person or by phone via payment terminal or via bank transfer.

How data is used

Contact details are used to respond to enquiries, to communicate with the customer, to process and fulfil orders and to provide the customer with important information relating to their photoshoot and images.

Where opt in permission is given for marketing purposes, news and offers relating to the products and services of Lucy Badham Photography are communicated from time to time.

Lucy Badham Photography will not share your personal information with third parties without your express prior permission.

Digital photographs are retained for the occasion that the client requires reprints or further images or has any queries relating to the images. It has been possible to supply a client with their photographs after they have had their copies stolen although it is the responsibility of the client to back up any digital images they purchase.  

Where personal data is held

Booking information and details of client orders are held digitally and backed up securely. Orders placed in person are kept in a secure structured filing system in hard copy.

Images from a family or pet portraiture session are viewed in person, digitally, and are password protected.  Digital images for business clients are presented via a private link on the website of Lucy Badham Photography. Contact details of current clients are in the mobile directory of Lucy Badham so they may be easily contacted before and after the photoshoot.

How data is transferred

Portraiture Sessions are confirmed in a letter sent via email via Microsoft Outlook.

How long is data retained

Personal data including images are currently retained for up to fourteen years. This time period will be reduced shortly and at that time, this Policy Notice will be updated with the revised timeframe. Lucy Badham Photography will endeavour to notify clients prior to the deletion of the images. It is recommended that portraits are purchased at the in-person viewing or within six months after viewing.

Lucy Badham Photography is obliged to comply with legal requirements for the retainment of financial records which may include personal data for tax purposes for up to seven years.

Where permission has been given for images to be used by Lucy Badham Photography for marketing purposes, images and permissions will be retained and used unless or until consent is withdrawn.

Queries and withdrawing consent
